Know who's on the water — and keep them safe

Your Boathouse replaces the clipboard sign-out sheet with live on-water tracking — so your club always knows who is afloat and that everyone made it back.

Safety & on-water

Know who is afloat, act when conditions turn, and keep a record when things go wrong.

Live on-water tracking

Always know what is out and what is back. Members check out a boat when they launch and check it back in when they land, giving you a real-time picture of activity and a complete history.

  • Who is out, in which boat, and expected return time
  • One-tap check-out and return
  • Full session log for safety and accountability

Overdue-return alerts

If a boat passes its expected return time without checking back in, your coaches, admins and the paddler are alerted automatically — so no one is left unaccounted for on the water.

  • Automatic alert when a boat is overdue
  • Emails coaches, admins and the paddler
  • Sent once per outing — no nagging

Water-status flag

Set a club-wide conditions status — green, amber, red or closed — for flooding, fog, lightning or stream-on. When it’s red or closed, new check-outs are blocked automatically.

  • One-tap status with an optional note
  • Visible to everyone across the app
  • Red or closed suspends check-outs club-wide

On-water board

A full-screen, glanceable display for the boathouse wall or an iPad — showing who’s out, in which boat, when they’re due back, and anyone overdue in red. Refreshes itself live.

  • Live count of boats afloat
  • Overdue outings highlighted in red
  • Perfect for a boathouse screen or tablet

Incident & near-miss log

Record capsizes, collisions, injuries and near-misses in one place — distinct from boat maintenance — to support your safety committee and insurance, and to review and close each one.

  • Capsizes, collisions, injuries, near-misses
  • Severity, location, people and action taken
  • Review and close with a full audit trail

Competency sign-offs

Define your club’s own sign-offs — swim test, steering, cox, wet-exit, huli recovery — award them to members, and require the right ones before someone can take out a given class of boat. So competence, not chance, decides who goes afloat.

  • Club-defined competencies for any sport
  • Block check-out or booking until signed off
  • Swim-test “warn” option, per-class rules and expiry

Waterway navigation rules

Build a page for each stretch of water your club uses — circulation rules, named hazards, an annotated map or PDF, and links to tide times or the local code. Members read it before they launch; admins preview drafts and publish when ready.

  • A page per waterway, built from free-form blocks
  • Colour-coded hazards, image or PDF maps, useful links
  • Draft → preview → publish; members only see published

Bookings & fleet

Run the day-to-day — reservations, your boats, and keeping the fleet on the water.

Bookings & timetable

Let members pre-book boats around your club’s opening hours and session limits, with clashes and double-bookings prevented automatically.

  • Pre-book within configurable opening hours
  • Per-boat booking windows and session length limits
  • Clear day and week timetable views

Fleet management

Manage every boat in your fleet, across every discipline, with rich profiles and statuses that keep unavailable boats out of booking.

  • All classes — singles to eights, K1–K4, C1–C2, OC1–OC6 and V-boats
  • Boat profiles with specs, photos and notes
  • Available / booked / maintenance statuses

Maintenance & issues

Keep your fleet on the water. Members flag damage, coaches track repairs, and boats marked out of service are automatically removed from booking until fixed.

  • Report issues against a specific boat
  • Track repairs from open to resolved
  • Auto-remove out-of-service boats from booking

Weekly summary report

Coaches and admins get a weekly digest of the boathouse — the week ahead, last week’s activity, and incidents and issues reported — by email and on the web.

  • Booked boats for the week ahead, boat-by-day
  • Last week’s outings, hours and busiest boats
  • Incidents and issues reported, with links
  • Pick Monday or Sunday; opt out per person

People & access

Bring your members in and give the right people the right access.

Members & roles

Give the right people the right access. Admins run the club, coaches manage sessions, and members book — with per-boat permissions for finer control.

  • Admin, coach and member roles
  • Granular per-boat permissions
  • Set permissions before a member even joins

Email invitations

Grow your club without friction. Invite people by email and they join automatically after signing up — no codes to share or re-enter.

  • Invite by email with a chosen role
  • Automatic join after registration
  • Resend or revoke pending invites anytime
